Does QB Enterprise do cash basis accounting?

Yes.  One of the capabilities of QB is the ability to provide cash basis financial reports.

Why would you do this?  Although a company might be running an accrual computerized accounting system during the year at the end of the year they may be filing taxes on a cash basis. 

At the end of the year you would run the balance sheet and profit and loss statement on a cash basis for tax reporting.

You can also print the trial balance report on a cash basis.

To do this run the financial report, then click Modify Report, in the Report Basis section click Cash.

Password reset in Quick Books

If you are looking for a company file do a search on all your drives.  Search for *.qbw

It’s possible someone saved it on a drive other than the shared network folder.  You might have to search a workstation also. 

If you have found the correct company file but can’t remember the password:

1)      You click on Reset Password

You are asked to enter the answer to the Challenge question.

If you can’t remember the answer or if it was not set proceed to 2) below.

 2)      Download the password reset utility.

Save it to the desktop or a folder you can get to. 

Exit Quick Books.

Run the password removeal tool.

Check your email and copy the token.  You will paste it into the field Token Number. 

You will be asked to fill in your license number which you can get from your CD package or go to Help and Manage My License, Change License Number. Write down the license number then click Cancel.

Select the correct version of  Quick Books.

Browse to the correct location of the Quick Books company file for which you are resetting the password.

Again, if you don’t know the correct location do a search for *.qbw in My Computer.

Type in the new password, and confirm the password again.

Click the Reset Password button.

When you launch QB again you may be prompted with the following screen.  Fill in the password you just used above.  You can keep the same password in the new field now or select another one.  Also set your Challenge question now.

Opening two company files in QB Enterprise version 11

You can now open two company files at the same time on a workstation computer.  Minimize the current session.  Click on the QB v11 icon and launch, open the second file.  You will get the following screen.

Mapped drives in QB Enterprise and Quickbooks

On a Server or network computer setup a shared data drive.  Typically I create a folder called data or qbdata.  All quickbooks company files *.qbw should reside in this folder.

At the workstation you will map Q: to \\servername\data

Ocassionally you run across workstations that will not keep the drive mapped.  Create a batch file in notepad or some other text editor, call it mapdrives for example.  Type the following and then save the file:

net use Q: \\servername\data   Save the file as mapdrives.bat to the desktop.

Locate your Startup folder on your computer.  This is the folder were programs and batch files load when you boot the computer. 

On my workstation which is Windows 7 it was C:\ProgramData\Microsoft\Windows\Start Menu\Programs\Startup

Drag or copy the mapdrives batch file into this folder.  You can also modify the file with notepad or a text editor and add other drives and commands. 

When you reboot the drives should map automatically.  You can also run this batch file from the desktop on demand. 

On workstations that lose the drive mapping during the day you may have to modify the registry.  Launch regedit.

You can find the LAN Autodisconnect parameter in the registry under the subtree HKEY_LOCAL_MACHINE under the subkey:

\System\CurrentControlSet\Services\LanmanServer\Parameters

The valid value range is -1 to 65535 minutes at the command line. To disable Autodisconnect set it to -1.

Create a Purchase Order from the Sales Order screen in QB Enterprise

Once you have determined an inventory shortage exists you can place a PO from the Sales Order screen.  Click on Create Invoice, then Purchase Order.  You can create a PO for selected items or all line items on the Sales Order.

When the shipment is received from the PO you will process the backordered items on the Sales Order.

Onc way to monitor this is to print the Open Sales Order report by Customer or Item.  Zoom into the Sales Order, click Create, then Invoice.

Once the backorder quantities are fulfilled the Sales Order will display in red in the header “Invoiced In Full”.  Also the Sales Order is marked as Closed.  The closed column “Clsd” will have a check mark in each column that has it’s qty totally fullfilled.

Backorders in QB Enterprise

How do you properly process a backorder in QB Enterprise?

Create a Sales Order.  Let ‘s say you have an order for 200 doorknobs.  After you key in the quantity and tab off the field you’ll get a warning that you don’t have enough inventory to ship 200.

When you print the Sales Order at this point the backorder quantity does not exist yet.  So modifying the Sales Order template at this point does not produce the desired results.  You can print the qty ordered 200, and the qty to pick in, this case 109.

Click on Create Invoice, and Invoice.  You can then select to create the Invoice for all line items on the sales order, or selected line items.

Enter the qty to be Invoiced.  In this case 109.  Save and close.

The qty backordered now exists.  Go back to the original Sales Order.  Modify the template to print the Back Order qty. In this case the back ordered qty is 91.

QB Payroll registration

The QB payroll registration key is generated from the Federal Identification number for the company.  Therefore the EIN must be entered in the Company setup.  Go to Company – Company Information, enter the EIN number.  The EIN number must be the same number you used when you registered your payroll product.

Also at this time, on the same, screen enter a valid legal name, address, city, state, and zip for the company.  This is used for payroll reporting information.
